ACEC Meeting Minutes

Administrative Activities

Call to Order - Jim Bonham called the meeting to order at 8:30 a.m..

Roster changes to reflect the APAA and ASIA merger were introduced. The new association is AAIA.(www.aftermarket.org) The roster will be updated to reflect those changes as of 7/1/99.

Introduction of attending members were made. Those associations represented were AIA of Canada, APAA, AWDA, HDDA, and MEMA.

It was moved by Brenda Reilly, second, and passed to appoint Melinda Booth, AWDA as the ACEC secretary.

It was moved by Dave Bennett, second, and passed to accept the minutes from the March 16-17, 1999 ACEC meeting held in Kansas City.

It was moved by Jim Hilbert, second, and passed to accept HDDA as a member to represent the Heavy-Duty market on the ACEC.

Jim Bonham made the initial proposal to include HDDA since CFS resigned as a member of the ACEC.
Dave Bennett gave a short presentation regarding the qualifications of HDDA as a member to ACEC.

It was moved by Jim Hilbert, second, and passed to create a new ACEC member category, Liaison Member. This membership type would include those parties interested in the ACEC work, but not eligible for voting status.

Jim Bonham made this proposal based on the unique status of CFS and the University of the Aftermarket.

Certification of Standards
Lydia Bennett presented the changed that MEMA/MISG has been working on regarding the 810, 857, 852, and 855. A copy of the MEMA Information Service Council EDI Guidelines is attached to the back of the minutes.

1. AIA of Canada asked to hold off voting for certification of the documents until their working group had a chance to discuss the document changes.

2. APAA thought the documents were fine from the auto/light truck standards, but wanted input from the heavy-duty side.

3. HDDA proposed the following changes:
Document 810

1. A "Bill To" is needed

2. At the Item Level a summary level for miscellaneous charges (used primarily for shipping charges).

Document 850

1. A release number is recommended in both the REF and BEG.

2. Delivery Date needed, 011 qualifier

Document 855

1. No additional changes, other than adding a date, were made to the document.

Document 856

1. A DTM at the header level - Estimated Delivery Date (017 qualifier)

2. At the REF segment at the Shipment level a tracking or tracing number is needed (this would be a carrier's tracking number. Would allow a company to track where the merchandise is during shipping). A "CN" or "TI" qualifier would work.

3. At the item or sub-item line a MAN segment is needed for pick and pack boxes (shipping boxes that have multiple different parts).

University of the Aftermarket Update

Tim Norlin, University of the Aftermarket, gave update on the Today's Technology for the Aftermarket Conference to be held in Orlando, FL February 2000. Tim also requested a volunteer to represent ACEC in a work group to develop the structure, topic content, and instructors for the conference. The time need would include several conference calls. Jim will send out e-mail to entire roster asking for a volunteer to contact the University.

ACEC Chat site usage

A short discussion was held on ideas to promote the usage of the ACEC chat site.
1. Promote ACEC through the associations communication publications.
2. Promote an industry figure to answer questions at a specified time (i.e. 7:00 - 9:00)

Project Inventory Updates

Review of the status of the ACEC Project Inventory. Notes of the project inventory discussion are summarized below. Also see the attached spreadsheet, which has been revised.

Internet based EC

Al Jones presented, via speakerphone, an update on the EDI translator/GM enterprise agreement. 1. The I-net and/or Ansinet project should be running within 3-6 months. 2. The Host on Demand still has several months of planning before the pilot program will begin.

Electronic Cataloging

Jim Hilbert gave an update on the Electronic Cataloging project being developed by APAA. The consensus of the last APAA committee meeting was to improve the data currently in the flat file as opposed to switching over to a relational data base format which had been request by Federal Mogul and a few other companies. APAA will be focusing on improving the data from Canada and Mexico. APAA will also be incorporating the Mitchell and Polk tables.

Fleet Electronic Cataloging

HDDA was assigned the Fleet Electronic Cataloging project. HDDA reported that not a lot was happening in this area at the current time. Reiterated the need for graphic implementation for the Heavy-Duty market. Discussed the VMRS (Vehicle, maintenance, reference, systems) classification need in the heavy-duty industry.

Specialty Products Cataloging - No updates

Electronic Price Updates (PIES)

APAA has changed the title of Electronic Price Updates to "PIES", Product Information Exchange Standards. Bob Castle with Saddleman is the lead on this project. They will be continuing their work during work groups in Santa Fe September 16 & 17, 1999. The group is identifying and flagging fields which would apply to heavy duty as well as the auto/light truck industry. The work will be ongoing throughout the summer. Inland Trucking will be implementing the 832 by the end of the year.

Supply Chain Management
Inquiry Special Order Process
1. Remove CFS from list.
2. Mike Williams went to IBM for Portal development. Problems to address are timeliness & security.
3. MEMA has published their own guidelines and system
- Appears to be partner specific rather than an industry standard
- Browser based system

Stock Order Process
X12 EDI Transactions
The Stock Order Process project is ongoing.

UN/EDIFACT EDI Transactions
AIA of Canada expressed interest in converting the MEMA 850 document from X12 to Edifact.

Supplier Assisted Inventory Replenishment

The Supplier Assisted Inventory Replenishment project has been moved from AWDA to APAA. The pilot project sponsored by APAA had Dana, Federal Mogul, Cardone, Gates, Penzoil, and two suppliers back out which has left the project inactive. However, Mike Williams has implemented a system within his own organization. He would ideally like to use Portal development for transmissions.

Electronic Warehouse Management
Bar Coding guidelines

The Bar Coding guidelines are being reviewed by a federal agency, Electronic Commerce Resource, which will make suggestions for revisions.

Internet Information Services

Ideas were discussed as to getting the association members to use the Internet Information Services. The following ideas were brought to the table:
1. Identify EDI users at the company level and build data base within each association
2. Have individuals register for information at Lyris.com
3. Develop a list of hot topics in the aftermarket
4. Incorporate an "Ask the Expert" on aftermarket topics

Year 2000 Awareness - No action

VMRS - No report

XML - Internet based EC - it was felt that it was premature, at this point, to begin converting X12 documents to XML. It would be best to wait until a worldwide internet standard has been developed.

The group wanted to change the Web address to aceconline.org. Chris Gardner of MEMA will look into the name change.

Shop Integration

ASIA is working on definition for the Shop Integration project. Currently the Enterprise Alliance and Snap-On Tools are working on standards for shop equipment. The next work group meeting will be held on September 16, 1999 in Santa Fe. Scott Luckett is the staff liaison for this committee.

Work Assignments A recap of the ongoing work assignments:

1. MEMA X12 committee will work on changes recommended earlier in meeting and continuing with updating their list of EDI Guidelines.
2. Rich will keep abreast of XML material being published.
3. APAA will continue to their work on the Electronic Pricing
4. AWDA will continue to work on the Bar Code Guideline updates
5. Jim Bonham recommended an EC World Conference being held in Orlando during October 1999. You can register through their website. ACEC members have been offered a $100 discount to attend this conference.

Selection of a New ACEC Chairman

Since there were no candidates that stepped forward to chair the ACEC, a new chairman was not selected. Several ideas were discussed (fewer meetings, rotating facilitator, holding all meetings at Gates) however, it was felt that a chairman was needed that could continue to be neutral to the politics of the various associations and keep the committee focused on certifying industry standards. It was suggested that in order to sway Gates to continue to support Jim Bonham as the chair that a letter from the association's president/chairman to Gates might help the situation. Letters should be sent to Mr. William J. Dotson, Sr. Vice President, Automotive Replacement Organization at 900 South Broadway Denver, CO 80209.

Next meeting

The next ACEC meeting was scheduled for September 15, 1999 in Toronto Canada. The meeting will be in conjunction with AIA Canada's convention at the International Plaza Hotel.
